Purpose and Scope

Beaulieu Padel recognises our moral and statutory responsibility to safeguard and promote the welfare of all children (anyone under 18) and adults at risk. We are committed to ensuring our safeguarding practice reflects statutory responsibilities, government guidance and with LTA standards. 

We are committed to prioritising the well-being of children and adults at risk and providing a safe and welcoming environment where they are respected and valued. We are alert to the signs of abuse and neglect and follow our procedures to ensure that children and adults at risk receive effective support and protection.

The purpose of this policy statement is to: 

  • Protect children and adults at risk (including children of adults who use our services) from harm 

  • Provide the necessary information to enable people to meet their safeguarding responsibilities 

  • Deliver good practice and high safeguarding standards 

  • Outline our commitment to safeguarding children and adults at risk 

This policy applies to any person who plays, coaches, officiates, works, volunteers, or otherwise participates (or visits) at our venue.  

Raising a safeguarding concern

Concerns should be raised in the first instance to our Welfare Officer, Lesley Tregunno or in her absence Ian Herridge. If they are unavailable or a safeguarding concern relates to them, the concerns should be referred directly to the LTA via https://safeguardingconcern.lta.org.uk/.

We recognise that 

  • the welfare of children and adults at risk is paramount  

  • working in partnership with children, their parents/carers and adults at risk is essential in promoting their welfare  

  • all children and adults at risk, regardless of age, disability, gender reassignment, race, religion or belief, sex, or sexual orientation have an equal right to protection from all types of harm or abuse  

  • some children and adults at risk, including LGBTQ+ people, disabled people or people from ethnic minority communities, can be particularly vulnerable to abuse and additional measures and safeguards may be needed to ensure their welfare. 

We will seek to keep children and adults at risk safe by

  • promoting and prioritising their safety and well-being 

  • appointing a Welfare Officer with responsibility for safeguarding in our venue 

  • ensure everyone understands their roles and responsibilities in respect of safeguarding and is provided with appropriate induction and learning opportunities to recognise, identify and respond to signs of abuse, neglect and other safeguarding concerns relating to children and adults at risk 

  • safely recruiting and selecting staff, coaches and volunteers

  • promoting and maintaining a positive safeguarding culture where people feel able to raise a genuine concerns and are confident they will be taken seriously 

  • ensure appropriate action is taken in the event of incidents/concerns of abuse and support provided to the individual/s who raise or disclose the concern 

  • ensure that confidential, detailed and accurate records of all safeguarding concerns are maintained and securely stored 

  • prevent the employment/deployment of unsuitable individuals 

  • ensuring that we have a process to deal with complaints and whistleblowing measures in place 

  • ensure robust safeguarding arrangements and procedures are in place for other activities, including coaching, competitions, holiday camps, social activities, online activity and social media, transportation and supervision 

This policy was last reviewed on May 2026 and will be reviewed every three years (or earlier if there is a change in national legislation).

1. Inclusion & Diversity Policy

Statement of Intent

Beaulieu Padel is committed to creating an inclusive, welcoming environment where everyone is treated fairly and with respect, regardless of background or identity.

Scope

This policy applies to all members, guests, staff, coaches, volunteers, and visitors.

Our Commitments

2. Whistleblowing Policy

Purpose

To encourage individuals to report concerns about wrongdoing in a safe and confidential manner.

What Can Be Reported

Concerns may include:

  • Safeguarding issues involving children or vulnerable adults

  • Criminal activity

  • Health and safety risks

  • Financial misconduct

  • Breaches of policies or the law

How to Report

Concerns should be reported to:

  • Company Director or Safeguarding Lead

  • In person

  • In writing

  • Confidentially (anonymous reports will be considered but may be harder to investigate)

Protection

  • Individuals raising concerns in good faith will be protected from retaliation.

  • All concerns will be taken seriously and handled appropriately.

Investigation

  • Concerns will be reviewed promptly.

  • Appropriate action will be taken where necessary, including escalation to authorities.

3. Anti-Bullying Policy

Statement

Beaulieu Padel has a zero-tolerance approach to bullying of any kind.

Definition of Bullying

Bullying includes:

  • Verbal abuse (insults, threats)

  • Physical intimidation or harm

  • Social exclusion

  • Online harassment

  • Discriminatory behaviour

Children

  • Bullying between children will be addressed immediately.

  • Coaches will intervene and inform parents/guardians where appropriate.

Adults

  • Bullying behaviour by adults towards anyone will not be tolerated.

  • This includes aggressive conduct, intimidation, or harassment.

Reporting

  • Incidents should be reported to staff or management.

  • All reports will be taken seriously and investigated.

Consequences

  • Warnings, suspension, or permanent exclusion from the club.

4. Online Safety & Communication Policy

Purpose

To ensure safe, appropriate, and professional use of digital communication.

Acceptable Communication

  • Communication with members should be respectful and appropriate.

  • Official communication should be conducted through approved channels (e.g. club email, booking systems).

Children & Young People

  • Direct communication with children should be limited and, where possible, include parents/guardians.

  • Coaches must avoid private or secretive messaging with children.

Social Media

  • Members must not post offensive, abusive, or inappropriate content relating to the club or its members.

  • Images or videos must comply with the Photography Policy.

Data Protection

  • Personal data must be handled in line with UK GDPR.

  • Contact details must not be shared without consent.

Breaches

  • May result in disciplinary action.

5. Safe Recruitment Policy

Purpose

To ensure that all staff and volunteers are suitable to work with children and adults.

Principles

Beaulieu Padel will:

  • Follow safer recruitment practices.

  • Prioritise safeguarding in hiring decisions.

Recruitment Process

  • Clear role descriptions and responsibilities

  • Application and interview process

  • Verification of identity and right to work in the UK

  • Reference checks

Safeguarding Checks

  • Enhanced DBS checks for roles involving children or vulnerable adults

  • Ongoing safeguarding training where appropriate

Induction

  • All staff and volunteers will receive:

    • Safeguarding guidance

    • Relevant policies

    • Code of conduct

Monitoring

  • Performance and conduct will be regularly reviewed.

6. Photography & Filming Policy

Purpose

To ensure photography and filming are conducted safely and respectfully.

General Principles

  • Photography and filming are permitted at the club.

  • Individuals should expect that images may be captured in a public sporting environment.

Children

  • Parental/guardian consent is required for images or videos of children.

  • The club will maintain records of consent and opt-outs.

  • Children who are opted out will not be included in official media where reasonably possible.

Use of Images

  • Images may be used for:

    • Promotion (website, social media)

    • Coaching and performance review

  • Images must not be used in a way that is inappropriate or exploitative.

Personal Filming

  • Members may film for personal use, provided:

    • It does not disrupt others

    • It respects privacy and consent

Club Responsibility

  • The club may request filming to stop if concerns arise.

  • All official media will be stored and used responsibly.

7.The use of changing rooms

Beaulieu Padel strives to ensure that all children (anyone under 18) are safeguarded from abuse and have an enjoyable Padel experience.

This policy applies to all staff, coaches, volunteers, players, parents/carers and any other individuals associated with Beaulieu Padel.

This document sets out the Beaulieu Padel policy for the acceptable use of our changing rooms.

  • Ensure members and parents/guardians are made aware of the type of changing room in use, i.e. separate for male and female or mixed changing rooms.

  • Groups of children will have sole use of changing rooms where possible. If this is not possible, adults should use their own changing area wherever possible, when changing at the same time as children, unless they have a child of an age where help is required from parents/guardians or if the child requires additional specific assistance. Where it is not possible for adults to change separately, they are to ensure they change in an appropriate fashion, and to be mindful that they are changing with children present.

  • Children of different sexes should change in separate areas, never in the same cubicle, or adjoining cubicles.

  • Mobile phones, cameras and other electronic devices must not be used in changing rooms.

  • Under no circumstances will adult staff, coaches or volunteers change or shower at the same time as children using the changing rooms.

  • Staff or volunteers should not supervise changing facilities whilst children are using them, as this can place them and the children at risk of harm and allegations. Instead, a DBS checked member of staff or volunteer can wait outside the changing room to allow children to call for assistance if required.

  • Where no changing facilities are available children, parents and travelling teams/players will be made aware prior to the game and advised to make alternative arrangements and to take appropriate additional clothing e.g. tracksuits etc. for after game activities
